Certification Assistant
As a Certification Assistant, you will provide administrative and operational support to certification projects across Textile, Social, Recycling, Forestry, and Sustainability certification programs. You will support the certification process by ensuring that all required documentation and procedures are completed accurately and on time, while maintaining compliance with applicable standards and company quality requirements.
You will act as a key liaison between clients, auditors, certifiers, and internal teams to ensure the smooth execution of certification projects and deliver exceptional client service.

Primary Duties and Responsibilities
Become a Certification Assistant and embark on a journey of discovery, innovation and impact, your primary duties and responsibilities will be;
Client and Certification Support
- Assist clients throughout the certification process by providing information, guidance, and administrative support.
- Collect client information through phone calls, emails, and other communication channels.
- Guide clients in completing application forms and submitting required certification documentation.
- Prepare quotations, contracts, service agreements, and other certification-related documents.
- Maintain accurate and up-to-date client profiles and certification records.
Project Coordination
- Serve as a focal point of contact for clients, auditors, certifiers, and internal departments during project implementation.
- Conduct preliminary document reviews and verification of certification applications prior to audit planning.
- Coordinate project documentation and support audit scheduling activities.
- Monitor project timelines and follow up on outstanding client requirements to ensure timely completion of projects.
- Maintain organized electronic and physical filing systems for certification projects.
Certification Administration
- Support certification activities across Textile, Social, Recycling, Forestry, and Sustainability certification programs.
- Review submitted documents for completeness and compliance with certification requirements.
- Input, update, and maintain certification data in internal databases and management systems.
- Prepare certification-related reports, correspondence, and client communications.
- Ensure all certification activities comply with applicable standards, regulations, and internal quality procedures.
Client Relationship Management
- Build and maintain positive relationships with prospects and existing clients.
- Conduct systematic follow-ups regarding application forms, quotations, contracts, and certification requirements.
- Respond to client inquiries professionally and efficiently.
- Support client onboarding and service introduction activities.
Financial and Administrative Support
- Assist the Finance Team in preparing invoices and following up on project-related payments when required.
- Support the preparation of monthly KPI reports and project status updates.
- Coordinate meetings, maintain schedules, and prepare meeting materials.
- Provide general administrative support to the Certification Team.
Quality and Continuous Improvement
- Maintain up-to-date knowledge of the company’s Quality Management System and certification schemes.
- Participate in technical training and continuous professional development activities.
- Support process improvement initiatives and operational efficiency projects.
- Perform other duties as assigned by the Managing Director and/or Operations Manager.
Requirements
Educational Background and Working Experience
- Bachelor’s degree in a hard science or technical discipline, including but not limited to Agriculture, Forestry, Engineering, Chemistry, Biology, Environmental Science, Sustainability, Textile Technology, or other closely related fields.
- Fresh graduates are encouraged to apply.
- Experience in certification, compliance, sustainability, quality assurance, textile supply chains, social compliance, administration, customer service, or related fields is an advantage.
- Experience working in a multinational or service-oriented environment is desirable.
Knowledge, Skills, and Competencies
- Minimum CEFR Level B2 English proficiency (written and spoken).
- Proficient in Microsoft Office applications (Excel, Word, PowerPoint, and Outlook).
- Strong written and verbal communication skills.
- Excellent organizational, planning, and time management skills.
- Strong analytical and problem-solving abilities with keen attention to detail.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

- Social and Ethical Compliance Programs
- ISCC (International Sustainability and Carbon Certification)
- FSC (Forest Stewardship Council)
- PEFC (Programme for the Endorsement of Forest Certification)
- Plastic and Recycling Certification Programs, including RecyClass, PPRS, PWRS, Ocean Bound Plastic, and related schemes
