An exciting opportunity has arisen at Cebu/ Davao/ Taguig, Philippines for TRAINING OPERATIONS ADMINISTRATOR.

As a Training Operations Administrator you will be responsible to provide essential administrative and operational support to the Training & Academy Services division of Control Union Philippines. This role ensures the smooth end-to-end coordination of all training activities — from pre-training registration and logistics to post-training documentation and evaluation. The Admin also supports business development efforts by assisting in client outreach, event participation, and the preparation of training proposals, working closely with the Training Manager to help grow the division across the Philippines and region.

Tasks & responsibilities

Pre-Training Administration

  • Prepare and distribute registration and enrollment forms to participants for all upcoming training programs.
  • Coordinate with participants and client contacts to confirm attendance, collect registration data, and manage participant lists.
  • Set up training schedules, calendar invites, and reminders for both internal and external participants.
  • Liaise with venues, hotels, or virtual platform providers to arrange logistics for onsite and online training deliveries.
  • Prepare and disseminate pre-training materials, reading packs, and joining instructions to registered participants.

Training Delivery Logistics & Support

  • Coordinate all onsite training logistics including room bookings, catering arrangements, audio-visual equipment, and printed materials.
  • Prepare training kits, handouts, certificates, and any physical materials needed for each training session.
  • Support facilitators and trainers during delivery by managing attendance sheets, participant queries, and on-the-day coordination.
  • Ensure the E-learning platform and virtual training environments are set up and functioning prior to each session.
  • Assist in coordinating travel and accommodation arrangements for trainers traveling to training locations across the Philippines and APAC.

Course Material & Digital Library Management

  • Build, organize, and maintain a comprehensive digital library of all training course materials, including slide decks, facilitator guides, participant workbooks, and reference documents.
  • Coordinate with subject matter experts and the Training Manager to update existing course materials and upload new content as required.
  • Support the design and formatting of training materials using tools such as MS PowerPoint, MS Word, and relevant design applications to ensure a professional and consistent look aligned with the Control Union brand.

Post-Training Administration & Evaluation

  • Distribute post-training surveys and feedback forms to all participants upon completion of each program.
  • Collect, consolidate, and analyze survey results to produce clear summary reports for the Training Manager.
  • Maintain accurate records of training attendance, completion status, and participant feedback for all sessions conducted.
  • Issue certificates of participation or completion to participants in a timely manner following each training.
  • Prepare post-training summary reports including attendance statistics, feedback highlights, and key recommendations for improvement.

Sales & Business Development Support

  • Assist in preparing professional training proposals and capability decks tailored to prospective clients and industry sectors.
  • Conduct client follow-up calls and coordinate initial inquiries, directing leads to the Training Manager or relevant team members as appropriate.
  • Support participation in industry events, trade exhibitions, webinars, and business chamber activities to promote the Training & Academy Services of Control Union.
  • Maintain a client and prospect database, tracking outreach activities, inquiry status, and follow-up schedules.
  • Collaborate with the Sales & Marketing team in drafting marketing collateral, event materials, and social media content to support training program promotions.

General Administrative Support

  • Provide day-to-day administrative support to the Training Manager and the broader Training & Consultancy team.
  • Coordinate internal communications and follow-ups related to training schedules, program updates, and stakeholder queries.
  • Assist with any other related tasks as assigned by the Training Manager or the Managing Director.

Requirements

  • Bachelor’s degree in Business Administration, Education, Communications, or a related field.
  • Minimum of 2 to 3 years of experience in an administrative, training coordination, or operations support role.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook — with particular emphasis on creating professionally formatted documents and presentations.
  • Experience in course material design, including layout, formatting, and visual presentation of training content using tools such as MS PowerPoint, Canva, or equivalent design platforms.
  • Familiarity with Learning Management Systems (LMS) or e-learning platforms is an advantage.
  • Strong organizational and time management skills with the ability to manage multiple tasks and deadlines simultaneously.
  • Excellent written and verbal communication skills in English and local language.
  • Detail-oriented with high accuracy in data entry, record-keeping, and report preparation.
  • Customer service orientation with the confidence to conduct client calls and handle participant inquiries professionally.
  • Experience in events coordination or marketing support is an advantage.
  • Experience in the Testing, Inspection, and Certification (TIC) sector is a plus.
